Backup Settings for Your Computer
Make sure you know how to backup the essential files that are on your computer periodically so that if something happens to your computer you will have your data. Since you do not save Center data on your computer..it is safe on the file server. Your email is saved in your outlook express files, and any personal files that you have on your computer can be saved as well.
Saving data from your computers to personal files on Server.
Fileman has a folder called staff which is designed for you to hold your personal files and then also your backups of your machine specific files. This process is done weekly if your backup program is running. These procedures provide an extra measure of protection in between backups or if there is something that needs to be backed up immediately.
1. Go to that server and make a folder called your_name using the model already there.
2. To save your messages and the folders that are in outlook express.
A. In Outlook Express , go to Tools and then Options. On the Maintenance tab, click Store Folders. Find wherever your folders are being stored. Go there and drag the folder to //Fileman/Staff/Your_ Name. You may name the file something that you will remember.. Suggestion. Joe?s messages 11-22-06
B. To store your address book, open the address book. Go to File and Export Address book. Store it on //fileman/Staff/Your_ Name. You may name the file something that you will remember.. Suggestion. Joe?s addressbook 11-22-06.. Remember not to change the file extensions which should be .wab.
C. marking an email message as unread..
If you are checking your email and want to come back to a message easily you can rehighlight it by right clicking on the message and clicking on "mark as unread". The message will show up in bold letters again. This will bring it to your attention if you need later.
To set your mail settings in outlook express in Win 2000 and XP
Due to security reasons, please set up a separate account in windows that will just be your Center account. You do this by going to the users icon in control panel. Please set this account up as an administrator type user so you can change settings. Then Click on this account and set your password so that no one else using that machine can log in as you. This will allow you to check your champion mail as long as you log off the account when it is not in use. Please see secure mail documentation for additional information.
Then under your new work account log in, go to Outlook Express.
Under Outlook Express. Go to tools/accounts
Mail- mail.champion.org you can name this anything that you want.. That will remind you that it is a work account. Such as New Horizons Center Account, etc.
Enter the following information when it asks you to set up an account or from tools/accounts:
name- Example: New Horizons
e-mail address- example.. info@champion.org or firstname_lastname@mailsrus.net
Go to servers tab:
incoming mail server: pop3.champion.org
outgoing server: smtp.champion.org
then : account name example: info do not include @champion.org in it though..
and new account name (Example info). Under passcode , leave the password blank and unremembered so that it comes up and asks you.. that keeps it secure so that only you can log in.
Make sure under outgoing mailserver (not incoming) "My server requires authertication box "checked
Click on the settings box.. click log on using.. account: firstname_lastname (this is the same account that you log on the network with. Under password The password you use for your login at the Center ( this time click remember password..)
save changes.. Test it an it should work.
An ADDITIONAL STEP AT HOME: Please go to the advanced Tab and check the box that says.. Leave copy of messages on server. This will allow you to check your email at home, and then when you come to work, they will still be there for you to address them, save them, store, etc.
Just a reminder:
1. Set it up and make sure that the password is not memorized, so that it requires you to put it in when checking mail.
2. Set household use policies to guard integrity on Center mail. This is a professional responsibility that no other family members have the possibility of seeing your Center mail.
Spyware
Spyware is a relatively new kind of threat that common anti-virus applications (Kaspersky, etc.) do not yet cover. If you see new toolbars in your Internet Explorer that you didn't intentionally install, if your browser crashes, if you browser start page has changed without your knowing, or if you start getting an uncommon amount of spam in your email, you most probably have spyware. But even if you don't see anything, you may be infected, because more and more spyware is emerging that is silently tracking your surfing behaviour to create a marketing profile of you that will be sold to advertisement companies. This is sometimes refered to as adware, not to be confused with Ad-Aware, a popular anti-spyware program.
Your computer can become infected with spyware, adware, hijackers and other malicious software by simply ?surfing the net?. It is often attached to ?free? software or daily living enhancement programs such as screen savers or desktop wallpaper.
We use Spybot-Search & Destroy. It is free.
The Christian Family and Children?s Center has a policy that every PC will have Spyware installed and running. ...Be ye therefore wise as serpents and harmless as doves. Matthew 10:16
The help file is always a good resource if you are unsure what to do, so please do at least read the first pages of it.
After the tutorial has finished, you may find yourself on the Settings or Update page. As the default settings are ok right now, and you've already updated, lets ignore them for now and do the first scan.
The left side of the program has a navigation bar that can lead you to all functions of the program. The first section there (the top-most button) is labeled Spybot-S&D and leads you to the main page. Right now, you will see only an empty list and a toolbar at the bottom. The first button in this toolbar is named Check for problems - that is the button you've got to press to start the scanning. Lean back and watch the scan progress.
At this point, you could just jump to point 7, and remove the results. Instead we recommend that you first have a look at what all the stuff is that Spybot-S&D detected. The first thing you should know is to distinguish between the red entries, which represent spyware and similar threats, and the green entries, which are usage tracks.
For the usage tracks, removal is non-critical, but depends on your personal preferences.
Ignoring the usage tracks for now, you should have a look at the red entries which represent the real threats. While you of course can trust us that we have chosen the targets using strict criteria, you can check for yourself if you click on each product and read the product information that will be shown in a pop-up window.
All problems displayed in red are regarded as real threats and should be dealt with. But while you read the product description, you may still decide to keep a threat, or just a usage track. Maybe you don't want your list of most recently used Word documents removed? At this point you have three options.
You could decide on ignoring all usage tracks. In that case you could open the File sets page on the Settings section of the program, and disable the Usage tracks entries.
Or if you want to just keep all tracks from a specific product, just right-click a product in the results list.
Finally, if you want to keep just one file, that is possible the same way.
So now you should know about everything you've found. It's time to use the Fix selected problems button.
Once you start thinking about removing the usage tracks, too, you may think that ticking all the green entries is hard work. This is for a simple reason - to force you, the newbie - to look at the results. Once you know what you are dealing with, there is a hidden Select all button available for you.
Because Spybot utilizes the web to update and find bad sites, it is necessary for you to tell it to use the proxyserver when doing that. Otherwise the program can never update itself. To do this:
OPEN SPYBOT (Click on window pictures above if you want screenshots to help)
1. 1. Click Mode in top left row and select ?Advanced?
2. Click the settings tab on the left hand column.
3. Under the Settings Column Select ?Settings? it should be the third option down.
4. A white window will open on the right side, scroll down and look for ?Web Update?
5. Under ?Web Update? select ?Use proxy to connect to update server?
6. Once this is selected a window will pop up named ?proxy settings?
7. If at North Campus for host type 192.168.2.7 and port is 8080 make sure no password is checked for ?Authentication? Press OK and continue to update machine.
8. If at South Campus for host type 192.168.1.7 and port is 8080 make sure no password is checked for ?Authentication? Press OK and continue to update machine.
Checking Internet History
History in I.E. Explorer is where to look. Only staff members have permission to clear histories. This is the history of actual sites visited..(Cybersitter can look like you've been to a bad site, when you have been to something like a search engine that is connected even remotely to a potential bad site.) Check and clear history every month to keep it from becoming unmanageable. This will make sure that you have at least seen the titles of the sites the have been visited. Check all titles that seem questionable. Students knowing this will be all the accountability that most need. It is good for all of us to know that there is a record of where we have been. However, note the following conditions:
a. An individual site can be deleted from a history so check for odd gaps.
b. If you are suspicious about a computer, check the temporary internet files to see if inappropriate addresses exist there.
Scandisk Procedure
(Should be run on the hard drive once every month of normal use and shouldn't be interrupted if run automatically): Must be run at least monthly. See monthly maintenance procedures for details.
Defragment Procedure
Run monthly as per monthly instructions.
The Servers
We have a variety of servers at North Campus that are built not on a windows operating system, but a Linux Operating system. They are designed by function and are used to make our network more usable. They can all be found under the workgroup Servers.
File Servers (Used to store all of our data files and automatically backed up each night) are located at North and South. Even though we are connected by the Wide Area network and you have access to either. They run faster if they are on your Local Area network at either North or South. The file server at North Campus under the Workgroup Servers and is called Fileman. At South Campus, the file server is called filemansouth. He is located also under the servers workgroup. Go to Neighborhood Network - double click on entire network, click on Servers and then click on Fileman, or fileman south. The fileshares under each have similar names so that we can track files, but each is completely different. For example under database on Fileman you will see NCDatabase. Under database on filemansouth you will see SCDatabase. You may click on server hard drives that you need. Each user group at the Center has permission to certain servers.
Webman and Webman2 (one is a backup)are our internet file server, and is used to hold all of our files that we want the public internet to have access to. These files can be accessed in the windows network under the folder webadmin. Each of the files in webman cooresponds to the same file in our webpage with the exception of webadmin. His address is transparent. So on the internet if you went to www.champion.org/ccs/financialaid you would see the html files that are located under the network folder webman\webadmin\ccs\financialaid (note that we use backslashes on the network and forslashes on the internet). Also note that any file named index.htm will come up automatically in a folder without typing it. So when you view the above folder on the internet that ends in financialaid it is actually looking at the file www.champion.org/ccs/financialaid/index.htm All other files must have their name typed in. We use this however to save one more name in a link.
Backupman exists to preform backup on all of our network every night at 4 AM. He keeps things in case we lose a server or a file becomes corrupt, but must be accessed by the Executive Director.
Proxyman and proxymansouth exist at each campus. They preform internet filtering for our campuses and networks. The settings must be adjusted, so it is important to tell the tech department if something is not working correctly in the filtering process of websites.. Either letting things through that shouldn?t (Why we check machine histories every month.) or not letting things through that we need to utilize.
Mailman and mailman2 exist (one as an automatic backup), to handle all of our mail responsibilities at the Center.
Spamman and Spamman2 exist (one as an automatic backup), to filter our spam out of the mail. Spam settings are tweaked based on staff feedback. This interaction with the tech staff help us to make sure the system is working more and more efficiently. You should report and emails that you think you should have received that you didn?t to the tech department. They will review all of the spam idetified before it is deleted to check for your email. They can also whitelist and email which means that any email that comes from that person will get through. All of the contacts on our database are whitelisted..as wel as all champion mail senders. We also allow certain domains which we know as responsible through as well such as ACSI, etc. We use common blacklists to determine known spammers. No system is perfect and you will always get some spam. If there seems to be a pattern, please report it to the tech department.
VIRUS ALERT PROCEDURE
Whenever you receive an e-mail concerning a virus alert, please do not automatically forward it regardless of how trusted the source. If it has an attachment with it, definitely do not open it!
Take the time to check and see if it is a valid alert.
You can do this by simply going to one of the following sites:
http://securityresponse.symantec.com/avcenter/vinfodb.html
http://vil.mcafee.com/newVirus.asp or http://vil.mcafee.com/hoax.asp?
Check the lists for the virus you have been alerted to; or do a search on the site to see what information they have on that virus. If it is a valid threat, please forward it. This is also true of information that we might not be sure about. If it is a hoax or if any of the information is inaccurate, take the time to inform the person(s) who sent it to you with the correct information.
New viruses as well as cool information are being discovered all the time but so are hoaxes. To pass on inaccurate information does not help the situation. Use any virus alert you receive as a reminder to be sure that your anti-virus software is up to date.
Current Email Address - How to retrieve the Center?s current mailing list address of e-mails:
1. Go to address book
2. Click Import
3. Choose Address Book
4. When it asks you from where, choose browse, go to server 4 Computer Dowloads and chose Center address book.
5. As it retrieves the addresses if it finds one in your book already, it will ask if you want to replace. You can choose individually, select to replace all or none.
Philosophy Regarding Internet Supervision/Security
Several things need to be understood regarding security:
1.
Make sure all computers are in public and accessible area with screen
facing
people. Nothing is 100% secure...supervision is the only real control
and
discipleship tool, that we can fully rely on.
2. Filtering functions
need to be in place and working. Password function needs to be controlled by
limiting password to adults that can control it. No student may know this
password. There are times that you need to disable it to get to a worthwhile
site. If this happens, immediately put is back on.
3. Sometimes histories can
be misleading. It is important to review and clear every month, but don't jump
to conclusions. However, computer managers must pursue any realistic suspicion
that they have in order to protect ourselves and the students in our care.
4. The real tracking place is under the history section of the browser. ON IE you get there by clicking on history. Making sure that the settings record it for a long enough period of time (999 days), and that you clear it after being checked (so you don't end up with too much stuff), that you track the date that you cleared it and remember to check up to that date the next time..(so no one can hit a poor site and then delete the history). This history is a record of all sites actually visited. This is where you will know if a problem exists in actual usage.
5. Currently students are not allowed to use chatrooms, ICQ or Web based e-mail without special permission. If adults give this permission, supervision is required.
Computer Use Policy
The Computer Use Policies are to coincide with the Internet policies stated in the Student Handbook.
1. Screen Savers and Backgrounds can only be changed with staff approval and should be in accordance with the Center's mission statement and other similar student policies (such as t-shirt, etc).
2. A no (non-educational) games policy will remain, unless free time is approved by a staff member.
3. When a document needs to be saved, the student should save only to the "Student Directory" on the fileserver under the folder Students. Under Students there is a class folder (which can be edited each year to update). There is also a staff directory on each fileserver for staff personal use. Saving a document to a windows directory or c:\ directories is prohibited. All shortcuts will need staff approval. (If the files need made on the fileservers, a student with staff approval, may make it)
4. Music played using the computer, must follow the Music Policy stated in the student handbook.
5. Installation of software is prohibited unless approved by the technology department. The following steps will be used.
1. Appropriate Content (Approve)
2. Copyright Approval (Legality??) (Tech Dept.)
3. Technology Approval. The Tech department will install the software after the following (after all of the above) steps have been taken.
4. Changing the clock, date or (ANY) configuration settings are prohibited unless approval is given by a staff member.
5. E-mail accounts must be set up (in Outlook Express) without passwords to keep from accidental misuse.
6. Students may not use web based e-mail, chatrooms, ICQ, or other Internet communication devices without staff approval and immediate supervision.
Deliberate Violation of the above policies will result in loss of computer use for a period of 3 months., and the second violation for the school year.
INTERNET POLICY
Use of Internet
The following topics have been determined to be inappropriate for students to access of the internet:
1. Sexual Content
2. Swearing/Bad Language
3. Satanic/Cult Material
4. Anti-Christian Material
5. Anti-Patriotic Material
In addition, the use of chat rooms is not permitted. If a student is witnessed accessing any inappropriate material the following consequences will occur:
First offense: The student will lose his/her Internet privileges for 3 months
Second offense: the student will lose all Internet privileges for the entire school year.
Accidental Access of Inappropriate Material
If a student would unintentionally access any inappropriate material, that student will need to fill out an accidental access form and give it to his/her teacher. This must be done so that the student does not lose his/her Internet privileges.
Software Brought from Home
1. All software must be approved by the Center.
2. The software must be a legal copy as per the copyright laws.
Staff and Leadership Team Member?s responsibilities in terms of security and protection of privacy.
1. All staff and leadership team members will utilize their Center email accounts for conducting Center business. This allows the documentation to be tracked, and also reduces the possibility of other tech operations, others outside the leadership team of the Center from viewing Center and client information. It is a violation of Center policy to do any of the following:
a. Utilize non-Center accounts for Center business or any communication that relates to the Center, wheter private or not.
b. Allow anyone that is not on the Center?s leadership team to view documents, emails, or other types of communication that relate to the Center. This includes family members, friends, co-workers, etc. To ensure this process you must:
*Always utilize Center mail and log ins.
*Assure that noone outside of you and the appropriate IT contacts know your password. IF that becomes compromised, you must request a new password.
*Since email accounts often are sometimes checked at home, you must utilze a windows 2000 or above box to assure that you can set up a different login to your mail account. This is done by setting up a separate user on your computer that will only be used by you. This will utilize your Center login password (which is the same as your mail password) to again assure that noone will have access to this account. Technically, another person on your computer could access this account if they are an administrator on that computer, so you need to also clarify with others in your household what appropriate practices are. This would include no access (regardless of intent) to your Center account or email at home. Note if you are using Windows 98 or another system that does not allow separate logins securely then you will need to see the Center IT department for security protocols. When you check email at home, you must allow a copy to be kept on the server so that you can still receive your mail and manage it at the Center.
*You must set a screensaver to come on after at least 5 minutes that is password protected with your Center passwords so that if you leave your desk people will not be able to view any information you have open, or be able to access that information.
*You must log out of a machine if you are going to be away for the rest of the day, or for a long period of time. Again, any machine that is logged in as you, has the same level of access to confidential information as you do, regardless of who is using the keyboard.
*You must delete old emails that have no more usefullness. If a piece of mail needs archived due to confidentiality, please submit it to your supervisor for such archiving.
*Make sure that you control and retrieve print documents to private printers when printing confidential information, and retrieve them immediately.
Technological Procedures for Confidential Security
In order to assure that technological data is securely maintaining confidential status the Center has implemented the following procedures.
1. All data on servers and computers is controlled by secure logins, confidential passwords, and secure fileservers.
2. Employees are trained on secure measures as well as other leadership team members to assure compliance to Center policy.
3. Passwords and other safeguards are held in the Executive Director?s custody, with the Board President having access to that location and information should the Director become unable to complete his tasks to protect Center security.
4. Files servers are controlled by samba security measures, and external firewall measures to assure access to only those who are able to obtain it. SSH is the only enabled service allowed inside.
5. File Servers are kept in a locked room
6. Access to file servers is limited to technology department personnel and Center personnel on a need to have access rule.
7. Technology department personnel are limited to root access to servers only when working on machines. Root access is changed after the work is complete until such time as needed later.
8. Server and Router access passwords are changed periodically.
Printer Trouble Shooting
1. Double check that you have the correct printer selected. Make sure that printer is turned on. On your computer, go to printers, properties and make sure the printer is not set to work offline. If so, it must be turned online on your machine to work.
2. Save your work and restart the computer, you are on.
3. Restart the machine that has the printer connected to it.
4. Contact a mentor or tech department.

Technical Problems Check List
There are many things that you can fix, or check that will help the tech department to save time, and Center resources to help others or develop new and better technology. When you run into a problem, please check the following things first.
1. Could it be a wire or cable connection issue? Take a moment to wiggle and reseat all of the wires and cables connected to your computer and printer. Be sure to check if your desk is sitting on a wire. See if the problem still occurs.
2. There are other things you can try. If your computer just seems inconsistent, try to run Scandisk and Defrag. This often cures a lot of ills.
Scandisk or Defrag hanging up? Reboot your computer and during reboot, keep pressing your F8 key. Don?t worry if it beeps at you. Sooner or later a screen will appear asking how you want to boot up your computer. Use you arrow keys to scroll to ?Safe Mode?. When Windows tells you that you are running in safe mode, click OK. Now run your Scandisk and Defrag.
1. Monitor problems.
a. Check the dials and buttons on your monitor. These dials and buttons will adjust your monitor display.
2. Sound Problems.
a. Make sure your speakers are plugged in and turned on. Especially check to make sure the cord is plugged into the right spot (Hard to see) on the back of the computer. 3. Not connecting to Network.
a. This is a popular problem. For some reason, sometimes the My Network icon won?t connect you to the main servers. Sometimes this is a Network issue and other times it isn?t. See if you can:
i.Get your email.
ii.Log on to another internet site other than CCS.
iii.Log on to servers in your own building.
Iv.Connect to a sever via an ip. Type in \\192.168.1.2 or \\192.168.2.2 to see if you can hit filemansouth or north.
b. If you can do any of the above, but can?t access the main servers at north then you need to try typing ?\\fileman? (no quotes) in the address bar.
BURNING A CD
To Burn a CD you must find a machine that has a CD Burner When you find it the software will be machine specific. Click on Nero or other burning software located on the Desktop or program file. Select to make a datadisk. It will have an option to add a job to be burned in which you will have to select a file from the network. When you add that job, you will be able to burn the software onto a CD. If you allow other jobs to be added later, you may still use the CD. IF you don?t the data will be all you can fit on the CD, but it is more stable. You would do this if you were going to pass the disk around, etc.

Publishing in Wordperfect when you want or need to do pictures, is best done by saving the origional WP file which you can edit in WP on webman in the exact place that you want to put the HTML file. If you can do this, when you publish to html, it will give you the exact location in which you want the file, and it will publish all of the pictures in the file that you publish to and put it on webman. There are other ways to do this, but it is difficult. Sometimes it makes sense to publish on the web when using pictures to use Page Breeze. If you cannot put the WP file on webman to publish and it doesn?t make sense to use Page Breeze, the you need to publish to your desktop and copy it over to the appropriate webman file. Use the following procedure. When publishing a wordperfect document that has graphics, those graphics will appear in a separate folder and be linked to your document in html language. Just remember that when you publish it you should have an html document (with the little blue e) and a folder as well.
? in wordperfect, go to file and choose "publish to html document'
when the window comes up, be sure that you are publishing to your desktop. use any name for the file except for the one you will need to have it named on fileman. trust me on this one.
when you hit publish, you should be able to minimize wordperfect and see two new icons on your desktop - one that is a little blue e with the name of your html file, and a plain folder with the same name.
NEVER RENAME YOUR FOLDER.
rename your html document (little blue e file) to the correct name for fileman - index, principalsnotes, etc.
now drag both the plain folder and your html document (little blue e) onto webman.
be sure to check online that your document has published correctly...and you're done!
Publishing from Word Perfect to PDF files is done the same as HTML file publishing, but you choose publish to pdf instead.
When you are working with webpublishing it is very helpful to have a mapped network drive to webman\webadmin set on your computer (See mapping an network drive elsewhere) as this will save lots of publishing time looking for the right place to publish files.
WEBMAN Usage
FACT 1: Webman is a separate machine used for hosting the web page of the Center. Therefore any web address which begins http:/www.champion.org will immediately go to the webadmin folder in webman to find a file called index.htm, or a folder if the address has a /nameoffolder behind it.
FACT 2: Access to webman as far as we are concerned is through two mechanisms:
a. Access to view webpages from the outside world through a webbrowser such as Internet Explorer. Again, any address that begins with http://www.champion.org will point them from anywhere in the world to webman. In order for browsers to see those files they must be .htm files. You cannot edit files with .htm wordperfect. You must use PageBreeze an html editor. So if you think of the way we currently post principals? notes on webman as http://www.champion.org/ccs/principalsnotes.
b. Although people in the world cannot view webman?s internal system files (just like they cannot view fileman files), YOU are able to view them with the right permissions and through our local network. In order to do this you click on neighborhood network and type in \\webman or use a local shortcut that we have put on your desktop to do that. It is through this method that you need to edit files, and see what is there. Permission to do this is granted through your local login. You have permission to access webman, but others do not. No longer can someone logging in as username ccs, password ccs have access to webman. This means if you are already using your computer and have logged in, you should be fine. If you are using a computer that someone who doesn?t have access to webman is using, then you will not be able to access the internal files through a linux program that is known as samba.
EDITING FILES IN WEBMAN
1. There are a variety of ways of editing files in Webman. Depending on your responsibilities and levels of commitment, you may only have to know one of them, or three of them. For now, lets work through the most basic ways and the issues that are presented with working on them. First of all some general issues..
2. There are multiple ways of editing both Html files and WordPerfect files, but only one type of file can be seen on the web. Wordperfect cannot edit (without multiple conversions) Html files and it is not the best choice for doing so. There are lots of reasons for you to take a WP file, use it, and then post it... if you are working primarily from a Wordperfect file, which will be true if your primary purpose for working on a file is not to post it on the web, and posting it on the web is just a secondary purpose. In order to do that, you will open the Wordperfect file (from wherever it is best stored-more later), and choose the publish to html option and publish it to the correct location in webman. This will let you find that file later for other uses, edit it, and then make decisions about when to publish the changes.
EXAMPLE: The Elementary Program is getting ready to hand out its guidelines for the Annual Social Studies Fair. They work on them in Fileman under Elementary Administrivia, where they always are, and get them just right. They print them, copy them and give them to the parents and students. Then as a secondary function they want them to be referenced on the web. So, they go into fileman, open the appropriate file and publish it to the webman folder under the following path.. : webadmin\ccs\elementary\socialstudiesfair . This lets them advertise the reference quickly, but also know where the origional is. For example, they decide they are going to change the page requirements for the next year. The prinicipal goes in to fileman and changes them. They are ready for next year. She doesn?t publish them, because they are irrelevant to anyone viewing them on the web.. Until next year. For now the guidelines can stay on the web and that serves the purpose of giving parents up to date guidelines.. For this year.. But it also allows new prospective parents four months from now to see part of what the elementary program is about. And that is invaluable to us from a marketing perspective, and also for an informational perspective. Teachers can refer to them on the web, other schools can see them, etc. The only trick becomes remembering to republish them when the time comes.. :) Otherwise they are out of date and this causes other problems.
So in summary, there are many times that Wordperfect publishing will be the most effective and best option. WE will focus below on that option. And then later look at the other ways and other reasons to use other publishing software.
The next use for publishing in wordperfect is that it is simple, and the primary purpose is to publish to the web. WP allows for simple and easy changes if there are not allot of graphics included. So in this case, a teacher has a homework web page. Its only use is on the web, and will not be printed or passed out for anything. In that case, the best location for that WP file is in the webadmin folder that it is being published to. So for example you have this year?s basketball scores and they want to be kept current on the web. You would create the WP file in webadmin\ccs\sports\basketball\schedule . The WP file would be kept there. You would then open the WP file, edit a small change. Save it (which saves the origional WP file) and then publish it to html. The advantage of storing the file in its origional location in webman is that when you save it it is automatic, and when you publish it it automatically publishes it to the correct folder in webman.
PROCEDURE FOR PUBLISHING FILES WITH WORDPERFECT
1. log in with appropriate permission
2. Open up appropriate word perfect file on the network
a. If on fileman (existing file never published or determined to be kept someplace other than webman because of its program uses):
network neighborhood
entire network
servers
fileman (or use shortcut to fileman)
go to appropriate location
b. If on webman because it is going to be primarily used as a web publishing document
network neighborhood type in \\webman or use shortcut to webman
Open webadmin (never open the other folders in webman)
Find appropriate folder (look for notes on paths below)
c. Double click on word perfect document (.wpd extension) and that will open the document in word perfect
Make appropriate changes to your document master
Click save disk to save the changes in your .wpd document (do not close document)
3. Publish the Document to Webman for viewing on the internet
a. Publish the Document using WP 10
Go to file, publish to html
It will offer to publish the document in the same folder that you opened it from. If this was the appropriate folder in webman then you are in great shape. If not, you will have to chose the correct folder. Go to webman\webadmin\findtherightfile (hint: Make a mapped network drive to webadmin so that you can get to it easily on your machine)
Click Publish and it should be published on the web.
4. Check to make sure it is published
Open up Internet Explorer in order to view FROM OUTSIDE THE NETWORK
Get on the web
Check appropriate address: use http://www.champion.org/yourfile/yourdocument.htm
5. Rules, Hints and guidelines about file storage in webman
1. How folders are placed in webman are important for several reasons:
a. How they are placed directly relates to how they are read on the web. For example. Any file placed directly in webadmin is accessed on the web in the following way.http://www.champion.net/name of foldersfollwoing/nameofyourfile.htm
b. If you make a folder under webadmin it directly translates into needing to add a foreslash (lower left corner to upper right corner) in the web address in order to see it from the web.
c. You make a folder in webman the same way you do in any other windows based computer. Right click, new, folder, then name it whatever you want.
d. The conclusions from a, b, c above are this. If we want for organization purposes to add a folder under web admin, we do that by creating a folder in webman. This changes the filename on the web tohttp://www.champion.net/nameoffolder/nameoffile.htm
e. When you are looking for the same file through the network you use a backslash (upper left corner to lower right corner) in order to get to the file so the network address of the same above file in d is \\webman\webadmin\nameofnewfolder\nameoffile . As you can see from the web the folder webadmin is transparent and does not need to be used, but it does from the internal network.
f. How we name and organize files in webman must be consistent, and should be done right from the beginning, although we sometimes understand the best organizational design after the fact. Some simple rules.
>All orders in files that are established will be kept consistent throughout all of our programs.
>At this point the order to be determined will be established by Merle, until things are fleshed out more appropriately
>The folder webadmin will contain primarily program folders. The school will be ccs, the preschool preschool, cpc is new horizons, and counseling is the counseling center
>Subfolders under ccs will be primarily program folders; elementary, middleschool, and highschool
>Folders will have complete names, spellings, no spaces, lowercase, and as simple as possible for consistency. No shortcuts on words, spell them out and nospaces.
>Look for consistent design. For example, under each program (elementary, middleschool, highschool ) each program folder contains a homework folder and under each of those folders there are folders with teachers last names. That allows people to learn the path for the homework folders and can find them if they know the rule regardless of which program their children are in
>Remember to get a ruling on a new folder before you publish a link to it or advertise it. It is much easier to remember to correct things at first. You may work on things in webman since just creating a folder makes it able to be seen on the web, but realizing that it will not be utilized until it is advertised, or linked to a more publicly visited page (such as www.champion.org)
>Any file that is in a folder that has a filename index (that is an html document) will be viewed automatically when the address is typed and ends at the folder. For example if the webman path is \\webman\webadmin\ccs\index.htm and someone types in use http://www.champion.org/ccs , then that file would be viewed. All other names must be typed in or linked to be viewed, so that \\webman\webadmin\ccs\merle would have to be typed in on internet explorer ashttp://www.champion.org/ccs/merle.htm
6. Making and Advertising Pages
Internal links. In order for people to visit our pages they must know that they are there. This ultimately is done through public advertising of our pages, or through letting others know in the information that we give, or by linking to our web page in ways that people already know. However, of course we cannot make all of our links off of www.champion.org. Rather, they must happen in an orderly fashion. So for example, it sometimes is easier to work backwards towards www.champion.org since that is fairly easy and well known. So if I am trying to advertise my classwork homework page, I would think this way.. My page is best tied to of course an elementary homework page, which is linked to the elementary page, which is linked to the CCS page, which is linked to www.champion.org. We would then make the appropriate links to each of those pages. This of course dictates how webman is organized internally and is important in the bigger picture. We also might say.. Hey don?t we have an article posted under our professional reading section on homework.. Wouldn?t it make sense to advertise our program homework pages under that link.
External Links: Advertising other links and with other pages: It also is possible to make a link from another companies or organization?s webpage. If there is an appropriate reason to do that, please feel free to email them and request it. However, any request to advertise (free or any other way) on another?s webpage must be approved. The process to do that is to email info@champion.org and to cc him on anything that you write to others. Some of our programs are doing that in increasingly important ways that are tied directly to marketing. It is also appropriate to host links on our site that will cause people to interact more with appropriate sites. Again, approval is through webmanger to do that.
Marketing: More and more of people?s research is being done on the internet. This has been one of our most successful means of advertising. What you do in terms of publishing good information about us will contribute significantly to that process.
Making a link in WordPerfect.
a. In order to make a link in wordPerfect you must have something to make a hyperlink. This can be text, a graphic, or a symbol.
b. Once you have made that piece of information on your webpage, highlight it, click tools, choose hyperlink and then type in the full address in the top section. Note: you cannot click on the network link in the box at the end of the file and select the appropriate NETWORK address. This will only work on a machine on our network...not from the outside area.
c. After you publish your page, check the internet to make sure that it actually works from the outside world.
USING PAGEBREEZE..and HTML editor
If you edit or create page with PageBreeze you cannot edit it again with wordperfect, so you need to make sure this is the model you want to use. It opens just like a word processing document and then can be used
A. You must have \\webman\webadmin mapped as a network drive W: on your system in order to use pagebreeze.
B. When you open pagebreeze, you will see a navigation bar on the left hand side, on the top of the box is a drop down area, it will probably say C: you need to click the downward arrow located on the right hand side, and change this to use W: (or whatever you made your webman/webadmin mapped network drive.
C. Once the directory being used is your webman mapped network drive, you can now navigate webman in this navigation bar, the same way you would navigate webman in network neighborhood.
D. Select the folder that is your webpage, and you need to edit. For instance if your webpage is www.champion.org/ccs/highschool you would click ccs, and then highschool, and in the lower portion of the box you will see individual files. You need to edit the one that says index.htm. Once you click on index.htm you will see the website open on the right hand side and you can make edits.
E. Once edits are complete you only need to click the disk at the top or click file, and then save. And your webpage is updated.
7. Managing a published page
a. Each page that we publish has to have someone ultimately responsible for managing it. Those responsiblities will be determined jointly by the program supervisors and the webmanager. It is important to not have out of date information on our web, so check it often! Remember that we have to be careful to not delete pages without making sure that all of the cooresponding links have been deleted!

Opening a Non-Word Perfect Document while using WordPerfect
3. Normally when you receive an attachment in an email document or on disk, or on the server, if it is a Word Perfect Compatible Document you can open that document directly or by just double clicking on it. This does not work with certain types of documents many time, particularly Microsoft Word Documents which is what many people are using out there. When you receive a non-WP document:
2. When double clicking on the document you will get a open document or save to disk option. You must choose the save to disk option.
3. When prompted, save the document to either a space on your computer if you never expect to use again, or to the appropriate place on the server if it is an important document.
After saving the document, open up Word Perfect. >From the open option in WP go to that file (make sure the option is set to view all files or you will not be able to see it.) and open. WP will then try to recognize the document format and show it to you asking if it should open. Clicking ok should get you a pretty close approximation of the original document. If the document is going to be used by Word Perfect users, you should then click on Save As and save it as a WordPerfect document.
How to Create a Button on the Front End

PARADOX and BDE ADMINISTRATOR PROBLEMS:
TO CHECK IF YOU HAVE A SERVER MAPPED:
Click on "My Computer"
Look for "Server4 on 'Fileman'" Icon It will have a letter (This letter must be the same for all users on your computer) On the XP machines using different letters for their mapped network drives. Please set your mapped network drive for Fileman server 4 as Z; Y for Office for those of us that use that; X for webman if you need that; and then add others as you need them.
If you have that icon, you are mapped! If it has a RED X through it it is not working.. Click on it to see if you can get it to come up.
If not, continue:
**SERVER 4 MUST BE MAPPED! (You may map/shortcut any server you'd like in addition.)
TO MAP A SERVER:
Click on: "My Network Places, Entire network, Servers Workgroup"
Click on "Fileman"
Right Click on "server4" (or whatever server you would like to map)
Choose the option "Map a Network Drive"
Be sure the box "Reconnect at logon" is checked
Click "OK"
Check again to see if you have Server 4 mapped.
Paradox User Problems when ACCESSING THE DATABASE and it gives you an error or says it is locked do you want to continue. Select no, and:
Go "My Computer" "server4" Should be mapped and appear on your computer just like your harddrive. It should be named the same letter as other server four mapped network drives on your computer.
Try accessing the database again. If the error doesn?t goe away, then go to My Computer, Control Panel,(or BDE Administrator. Open, Configuration, Drivers, Native, Paradox and make sure that mapped network drive is the same as your mapped network drive to fileman. If not change it, either by selecting on the grey drop down box, or typing it in.
Try Accessing the database again. If the error is still there, then check for locked files. Go to Start, Search for files and computers, and type in *.lck under files named. (This will find all locked files on your computer.) Also select my computer in files located. When it is done, delete all files that have anything to do with paradox.. These would have pdx or pdxusers, etc.
If those errors do not fix your problem it is probably a network problem and contact the tech department.
ONE OF THE MOST COMMON PROBLEMS IS THAT IF THE MAPPED NETWORK CANNOT MAKE A CONNECTION TO FILEMAN BECAUSE THE COMPUTER NETWORK IS DOWN, THE WAN IS DOWN, OR FILEMAN IS DOWN..THERE IS AN OPTION TO DISCONNECT THIS NETWORK DRIVE. PLEASE.. NEVER DISCONNECT A NETWORK DRIVE. And Always remember to choose ?yes? when asked to reconnect in the future.

User Troubleshooting Problems With Email Locking up When Downloading
There are a variety of things that can cause this problem in outlook express. First check with others to make sure that email is not down throughout the network. Then please try all of the following before contacting technical support:
1. Make sure that when opening outlook express that you give the program adequate time to load before you enter your password. Usually this means until you can see the text in the preview pane of outlook and that everything is there.
2. Make sure your settings are correct. Under tools and options and accounts check on your specific account then:
a. Under connection tab, make sure the box always connect to the server is checked and that Local Area Network is chosen
b. Under advanced tab, make sure that the box server timeouts is set to the maximum amount (5 minutes in most cases).
Windows Update Procedures
Please make sure that your computer is getting windows updates automatically. Please check monthly settings for additional details on how to do that.
Searching the Internet
The www has a vast amount of information contained within its boundaries. And there is no quicker way to discover how much of it is useless (at least to you) than to try to find information on a specific subject. The first step in searching the web is to determine what is the information that you want. I once heard that the best place to start a search on the web (especially for students doing reports) is in the encyclopedia. If you are looking for general information and a quick overview of a topic, this approach may yield the information you need. If not, it can help you think about what it is you want to know.Consider such things as terms that are shared between differing topics; both automobiles and calculus deal with differentials but obviously of a different type. Are you looking for an overview of a person?s life or his involvement in a specific event? Typing in the name of the event will probably yield faster results than typing in the name of the person involved.Next, you need to realize that there are 3 main types of search engines on the WEB: category, keyword, and specialty.Category search engines like yahoo.com, snap.com, magellan (mckinley.com), and webcrawler.com give you a listing of the topic by category such as specific categories they use on their site, websites, news articles, etc..
4. A key word search finds the specific words that you put in the search box. This may yield thousands of sites to weed through. This is where thinking through what information you need is especially important. To just put in ?ice skating? would give you sites where they are sold, sites of people who enjoy ice skating, pages with the words ?ice? and ?skating? mentioned somewhere on the page (you could end up on a webpage about safe driving because it has a link titled, ?What to do when your car goes skating on the ice.).
5. It can be helpful in key word searches to place the words between quotation marks, ? ?, On most search engines this causes them to search for the exact phrase rather than each word in the phrase.
6. The third type of search engine is one which focuses on a special topic: for example, government search engine, news search engine, computer search engines, etc.. These will only give results that specifically deal with the topic that concerns you. If you can find one that deals with your subject matter, they can save a lot of time. (The following URL contains a listing of specialty search engines topics: http://searchenginewatch.com/links/specialty.html )
7. Another key in searching is to understand boolean searches (named after Georg Boole). These go back to the early days of computer logic. By using them in your search, you can reduce unwanted results. The commonly used operators include AND, OR, AND NOT.
8. AND is used to give you webpages which have at least one occurrence of each word on its page. Suppose you want to know about amusement parks in the state of Texas, you could search for amusement parks AND Texas.
9. OR is used to find pages the contain either of your search words but not necessarily both. You are looking for information on cars and like Ford or Dodge. so you type Ford OR Dodge in the box.
10. AND NOT allows you to find the word preceding it but not the one following it. You are looking for information on busses but do not want anything on school busses, you would type, ?Bus AND NOT school?.
11. Most Search engines have at least one page with instructions on using their site. It is worth the time to read them especially if you use the engine on a regular basis.
The following are some sites which I used whil writing this. They contain much more

Using The NC Projector
Any one can use the projector in the Multi-purpose room when it is already mounted on the ceiling very easily.

6. To make sure the projector is working properly, look at the screen and see if you see the desktop background, if not drag the mouse all the way to the right side of the screen, and you will see it appear on the screen of the projector.
If you want to use the projector in your classroom you will have to ask someone from the tech staff to take the projector down for you, and then use the laptop to run it in your class..

E-mail Problems
Sometimes you may receive a Failure Notice for a sent e-mail that you believe is to be the correct e-mail address, please double check to make sure you sent it to the correct e-mail. If it is the correct e-mail and it still did not send, please send a copy of the e-mail to the Technical Director. Sometimes champion.org gets marked as spam because of all the bulk e-mails we send out, so periodically we may need to be removed from these spam lists, and it is easier to keep up on if you notice your Failure notices.. Thank you

FIREFOX INTERNET BROWSER
To download Firefox go to Fileman / Server 4 / Computer Downloads
Downloading OPEN OFFICE
1. Check to make sure it is not on your computer already.
2. Go to server 4 (at either campus) and go to computer downloads. Go to open office folder.
3. Click on the icon that looks like a piece of paper.. it says openofficeclickto install (or something like that)
4. You can use the default choices to install. Follow them. A couple of notes:
a. Go ahead and register the version. You can register in your name, or as info@champion.org.
b. When it installs. Open the program (it will put an icon on your desktop) and there is a icon on the upper right hand corner. When you put your curser over it it will say updates are available or something. When you get a second go ahead and download those updates and you are ready to go.
c. Attached to this email is a Microsoft new file called openofficetest.docx Save it and see if you can open it by clicking on the file. When it comes up, it will ask if you want to open it with open office. Say yes and open all files like this with open office. That should set you up and make you ready to go! If you get a docx file it will open it with open office.
d. There are more things to deal with in the future. Like if you get a file docx and open it and we want to keep it, we will want to convert it to rtf file and then to word perfect. Deal with this as you can.

It will suggest words for you to replace the misspelled one or you can ignore it if you know it is correct. Directions for using NEW webpage template
1. Go to Webman/Webadmin/ and copy the entire folder labeled "Template" (The contents of this folder are what you need to create the
new webpage.)
2. Find the location that you want to create the new page (i.e. Elementary Teacher will go toWebman/Webadmin/CCS/Elementary/Teacher) then copy the folder into that location.
3. You can then open the index page of this folder and begin making changes (i.e. change the header to a your header, etc.) Keep this as the work in progress copy and wait until it is complete to replace your page with the new one.
4. DO NOT delete or open the ImageRotate.php or Webtools
5. The imgpool folder can be edited. Any photos in this folder can be deleted and replaced (images must be jpeg's or jpg's) Any photos you add into this folder will appear in the rotating image.
6. The rotating image will not appear in the index file while you are editing. You will see an invincible box if you click on the area where the rotating image would appear. If you delete this invincible box, you will delete the html necessary for the rotating image to work.
7. There is "white space" below the rotating image, where you can add to the webpage. You can use as much of this area as you need. The default page information under (address, etc.) will just continue to drop down the page until you are finished using the "white space."
8. Once your new page is complete, you can delete your old index file and then rename the template file as index.
Correcting Image Rotator Issues (Skewed/Rotated Pictures)
Regarding images skewing, there can be two basic culprits. One
possibility is that the images haven't been sized and cropped to naturally match
the dimensions of the space on the page (360x270; or a 4:3 aspect ratio), in
which case the will be stretched and skewed to force them to those
dimensions. The second possibility is that in the course of editing the
page the dimensions of that section have been changed and need to be returned to
360x270. So when cropping and editing the photos size to 360x270 or some
ratio thereof.
Also, some pictures are oriented sideways. To fix
this, the image has to be opened in an image editor and rotated 90 degrees in
the right direction. Usually, when this is done, the cropping has to be
changed to bring it back in line with 360x270 space. It is not adequate to
rotate them in an image viewer or while browsing the pictures through the file
browser. This does not change the orientation of the picture, only how it
is being displayed to you at the time. If you aren't sure whether you are
in an image editor or viewer, take note of whether it prompts you to save.
An image viewer will let you rotate the image, but never asks or gives the
option to save. An image editor, however, will ask you to save your
changes.
