JOB DESCRIPTION
Position: Administrative Assistant
Supervisor: Center Director
Summary:
Administrative Assistant is responsible for coordinating the Financial Aid Program; assisting with the administration of the Counseling program such as typing, filing, form production, duplication and reproduction, coordination and reproduction of Center correspondence, and reports; management of the record keeping function of the bus/Van program; and other office related functions as needed. This is done while demonstrating Christian principles in accomplishing these tasks.
I. Qualifications
A. Completion of the requirements for a High School diploma.
B. Be immunized and in good health.(Leviticus 13:1-6)
C. Administrative Assistant must be able to demonstrate the attributes required to be a Christian role model for the people he/she comes in contact.(1 Timothy 4:12f; Joshua 24:15)
D. Must possess communication skills enabling him/ her to work effectively with Center Director and other professional staff at the Center.
E. Must possess the basic skills related to the function of clerical tasks such as: typing, familiar with the office machinery, filing, good phone personality, etc. (Proverbs 18:24)
F. Must be able to handle responsibility well.
II. Responsibilities
General Responsibilities:
A. Position requires up to 20 hrs/week as scheduled by supervisor.
B. Administrative Assistant will be responsible for typing and producing various professional forms and records submitted by Center Staff.
C. Administrative Assistant will be responsible for organizing, managing, typing and reproducing special professional projects from time to time.
D.. Administrative Assistant will perform all other required tasks related to the effective operation of the Center.
E. Administrative Assistant will abide by the policies and procedures as defined by the
Center Board of Directors. (Joshua 1:7f)
F. Administrative Assistant will support the process of phone communications and office management duties.
G. Coordinate the scheduling, record keeping, and public relations function of the Center=s Workshop/Seminar Program.
H. Perform tasks with assistance to the Executive Director as needed.
I. Administrative Assistant will oversee the Food Service Program.
Christian Counseling Services:
A. Administrative Assistant will handle required office tasks for Christian Counseling
Services.
B. Administrative Assistant will manage the process of intake, scheduling, record keeping, billing, accounting, budgeting, voice mail, and reporting for the Christian Counseling Services.
C. Administrative Assistant will manage Data Base for Christian Counseling Services and
integrate that information into the Center=s Data Base.
D. Administrative Assistant will coordinate advertising of the Christian Counseling Services.
Financial Aid Coordinator:
A. Administrative Assistant will manage the Financial Aid program at the Center.
B. Administrative Assistant will manage the functions of job coordination, scheduling, and definition.
C. Administrative Assistant will manage the functions of record keeping, billing, budgeting, supply requisitions and financial reporting relating to the financial aid program at the Center.
D. Administrative Assistant will assure the management and coordination of job quality control in the context of overall ministry functions.
E. Administrative Assistant will assure that the guidelines, policies, and objectives of the
Financial Aid Program are carried out
F. Administrative Assistant will handle conflict resolution in this program in a Biblical Manner according to Center policies (Matthew 18).
Bus Van Record Keeping:
A. Work with the Center Director and Head Bus Driver to monitor and track all record keeping functions of the bus program.
B. Manage the functions of billing and record keeping for the School district Contracts.
C. Perform the record keeping functions relating to gas use and purchase, fuel rebates, and
other gas related records.
D. Manage CDL Driver Paperwork including form keeping, annual updates, training records, drug testing, and special use of vehicles.
III. Evaluation
A. Administrative Assistant will participate in a minimum six month probationary period during which time he/she will receive two supervisory evaluations. After the successful completion of two three-month evaluations, he/she will thereafter participate in a formal evaluation procedure every year.
